Searches Preferences Fields and Controls

Searches Preferences are listed in the table below.

 

Field/Control

Description

General Preferences

 

Show Search Results

Click to display search results. Not choosing to display search results is intended for power users, such as Open Order Clerks. When used, instead of displaying search results, the system redisplays the search entry screen to enter more orders.

Show Filtered Results (TP)

Click to display filtered search results by default. You can still hide or make visible filtered results using the Hide/Show Filtered ResultsHide/Show Filtered Results button on the search result pages.

Paging Threshold

Paging Threshold defines how many records to group on each search results page. The default is 100. Records that exceed your default display results on more than one page.

Default Search Results View

You can choose to display the global appearance of each search record/posting line by choosing one of the following:

  • Condensed, attempts to display all data on a single line.

  • Expanded, displays a more complete record.

Regardless of the chosen default option, you can still view its alternative when:

Search Result Item Background

You can choose to display search results with a gradient or solid color coding, or no color at all.

Order number is default initial input

Clicking this option first displays the cursor in the Order Number field when running searches. This feature is commonly used by users who frequently enter orders.

Users that do not commonly enter orders (such as Customer Service users) can turn this option off. Doing so displays the cursor in the first search parameter field (such as Address on the Combination Search Screen).

Group CI Records (TPX)

Couplers are numbers that group a primary instrument with a secondary instrument(s), including releases. The coupler numbers are shown under the coupling indicator (CI) column on the chain.

Click to group records by CI.

Include References (TPX)

Checking Include References automatically checks the Include References box on the Instrument Search Screen. The Include References feature finds secondary documents related to the requested primary document.

If necessary, you can override this default when Running an Instrument Search.

Combination Search (TP)

 

Tax Auto-run

Checking Tax Auto-run automatically checks the Tax Auto-run box on the Combination Search Screen for Address and/or Names and Tax Identification Number.

If necessary, you can override this default when Running a Combination Search.

Property Auto-run

Checking Property Auto-run automatically checks the Property Auto-run box on the Combination Search Screen for Address and/or Names and Tax Identification Number.

If necessary, you can override this default when Running a Combination Search.

Name or Grantor/Grantee Auto-run

Checking Name or Grantor/Grantee Auto-run automatically checks either the Name Auto-run or Grantor/Grantee Auto-run option (depending on the county) on the Combination Search Screen for Address and/or Names and Tax Identification Number.

If necessary, you can override this default when Running a Combination Search.

Starter Auto-run

Checking Starter Auto-run automatically checks the Starter Auto-run box on the Combination Search Screen.

If necessary, you can override this default when Running a Combination Search.

Xpress Search (TPX)

 

Auto-Retrieve Full Value Deed Images in Gtr/Gte or Property Auto-run Results

Select this option to automatically retrieve Full Value Deed images in Grantor/Grantee or Property Search results when running an Xpress Search.

Gtr/Gte or Name Auto-run

This option auto-selects the Gtr/Gte or Name Auto-run option in Xpress Search Results, and searches names found in Xpress Search Results. All name variations will search using the matching percentages defined in preferences.

Date Filter

Three choices are available.

  • Deed Selected will use the date of the deed selected in Xpress results.
  • Gtr/Gte or Name Years Back Default will populate the Search Names From date field less today's date using the Years Back Default value.
  • No Date Filter will leave the Search Names From date field empty.

Tax Search (TP)

 

Automatically add assessor's map to search

Choosing this option automatically adds an assessor's map to your tax search when Creating an Open Order or Adding a New Search to an Existing Order.

Run multi-word street names as single word

Checking this option runs multi-word street names as one word for combination searches. For example, the name "Willow Crest" will run as "Willow Crest" and "Willowcrest." See Entering Address and/or Name in Find Order for further information.

Always run related, underlying, and future tax parcels

  • Clicking this option removes the option to be able to uncheck these items on the Tax Search Screen, thus graying-out the items. This safeguard prevents users from Running a Tax Search by Tax Identification Number without checking all of the necessary items.

  • NOT clicking this option displays the related, underlying, and future tax parcel items to check/uncheck, allowing you to run each search at your discretion.

View Prior Year Taxes

For companies that are authorized, choosing this option allows you to view the prior year tax information, by default, for both orders and non-order searches.

Full Tax (Cook County Only)

Choosing this option automatically checks the Full Tax check box on the Combination and Tax search pages, allowing you to perform full tax searches, by default, for orders in Cook, IL, only.

Default Number of Tax IDs/Addresses

Enter the number of default tax ID and address entry fields to display for Tax Search.

Property Search (TP)

 

Merge Property Results

Checking Merge Property automatically checks the Merge Property box on the Property Search Screen.

Property Option

Make one of the following choices:

  • Recommended (available in select counties) applies special logic based on county and property type to return only those postings relevant to your search.

  • Traditional allows you to apply the provided All Tract, Include Underlying, Include Splits, and Include Overlying options (described below) to yield the postings in which you are most interested.

Traditional Options

Make one or more of the following choices:

  • Include All-TractInclude All-Tract

    Include All Tract returns postings associated with the larger portions of the legal you searched. For example, searching Lot 1 Map 25/56 returns postings for Map 25/46.

    Using All Tract also returns "all block" (or other applicable general accounts) postings. For example, searching Lot 1, Block 1, Map 100/65 with the Include All-Tract option returns All Tract (Map 100/65) and All Block (Block 1, Map 100/65) postings. Additionally, the system returns "No-Block" (Lot 1, Map 100/65) postings.

  • Include SplitsInclude Splits

  • Include UnderlyingInclude Underlying

    Searches the legal entered and also searches back to one or more prior legal ancestors to determine the appropriate legal pointer(s) and deliver it as part of the results. Checking this option provides the following options:

    • One Level, which returns one underlying generation.

    • Through 1st Plat/Subdivision, which returns all available underlying generations up to and including the first encountered plat or subdivision. In looking at the below Property History example, if Tax ID 129-11 Pcl 13A is searched, then results will also return for both Sub Arb 129-11 Pcl 13A and Lt 92 Map 78/12 because Lt 92 Map 78/12 is the first subdivision/plat.

    • All Levels, which returns all available underlying generations. In looking at the above Property History example, results for all legals will return.

    Note: An underlying property is also referred to as a "from" property.

  • Include OverlyingInclude Overlying

    Searches the legal entered and also searches the successor legals of the property in question to determine the appropriate legal pointer and deliver it as part of the results.

    Checking this option provides the following options:

    • One Level, which returns one successor generation.

    If the successor generation property is an Arb type legal (such as a Tax ID or Plant Arb), then it will also return.

    • Up to 1st Plat/Subdivision, which returns all available successor generations up to but not including the first encountered plat or subdivision. The intent of this feature is to go to and not include the postings from the next subdivision, as returning all overlying results could be unwieldy (such as if your overlying property is lots 1:500 Map X/X).

    As described above for One Level, if the successor generations properties are Arb type legals, then they will also return.

    Note: An overlying property is also referred to as a "to" property.

Adjacent Starters

Adjacent Starters performs a Lot with All Tract/Include All Tract search and searches up to 10 adjacent legals for only starter documents. When it reaches 10 starters it stops.

It is possible for more than 10 starters to display on a chain. For example, if you are searching lot 1 and 10 starters are exceeded on lot 5, all of the starters for lot 5 will still display.

TitlePoint displays starter postings on the chain of the originally searched property.

Sort Order

Choose one of the following to specify the initial retrieval order of the instrument postings on the property chain:

Group Primary/Secondary

Causes secondary documents (such as releases) to be grouped with the primary document they affect.

Show Lot Postings First (for Layered Legal Sort Only)

While Layered Legal ordinarily displays the more general postings (such as All-Tract) first, this option causes the more specific (Lot-Specific) postings to display first.

Newest Postings First, Reverse Chronological (for Layered Legal Sort Only)

Causes property results to be returned with records generally grouped by legal description, and then by reverse chronological order within those groups.

Expand Property History

Checking this item automatically expands Property History in Property Search results.

Automatically Scroll to End of Results

Checking this item displays, by default, the end of the search results.

Property Search (TPX)

 

Include All-Tract

Choosing this option will also return the postings (such as the unit, lot, block, and subdivision) for the type of legal being searched.

Show Lot Postings First

This option causes the more specific (Lot-Specific) postings to display first.

Merge Property Results

Checking Merge Property Results automatically checks the Merge Property box on the Property Search Screen.

Quarter Display Alpha Format

Choosing this option will display sectional search legals in an alpha format; otherwise they display in a numeric format. For example:

  • Alpha: NE NW NE / S-12 T-54S R-40E

  • Numeric: 121 / S-12 T-54S R-40E

Name and G/G Search  (TP)

 

Sort Order

Choose one of the following Sort Order preferences to specify the initial retrieval order of instrument postings on the name results:

Group Primary and Secondary

Secondary documents are connected to their respective primaries, regardless of the sort order.

Matching

Choosing one of the Matching percentages automatically selects that option on the Name Search Screen each time you run a search. The values below indicate the percent level of accuracy for finding and identifying instruments when searching by name:

  • 100%

  • 90-100%

  • 75-100%

  • 50-100%

  • 0-100%

If necessary, you can override your chosen default value when Running a Name Search. See Choosing Match for further information.

Years Back Default (Name Search)

You can indicate how many years back (1-99) from when to run your Name searches. For Name Search, this allows you to adjust the breadth of your search for the timeframe that title company wishes to use to consider their opinion of title risk.

Years Back Default (G/G Search)

You can indicate how many years back (1-99) from when to run your G/G searches.

Search for bankruptcies in adjacent counties

Checking this option automatically checks Search Bankruptcies in Adjacent Counties on the Combination Search and Name Search screens.

Property Docs Auto-run (Names)

Checking Property Docs Auto-run automatically selects the Property Docs Auto-run option on the Name Search page. This feature will auto-run a Grantor/Grantee Search associated with the name you type, and only return property documents.

Property Documents Only

This option automatically selects the Property Docs Only option on the Grantor/Grantee Search page.

Use Pick List

Choosing this option displays the Name Pick List, which yields a collection of possible name matches from which you can choose. Also see About Name Pick List for further information.

Auto Select from Pick List

Choosing this option automatically selects all of the name variations displaying on the Pick List.

Merge Results (Name Search)

Checking Merge Results automatically checks the Merge Results box on the Name search screens. The Merge Results feature merges multiple name results into a single result. Also see Merging Name Search Results.

If necessary, you can override this default when running a Name search.

Merge Results (G/G Search)

Checking Merge Results automatically checks the Merge Results box on the Grantor/Grantee search screen. The Merge Results feature merges multiple name results into a single result. Also see Merging Name Search Results.

If necessary, you can override this default when running a Grantor/Grantee search.

Property and Name Documents

Choosing one of the following search options automatically selects that option on the Grantor/Grantee search screen in certain counties:

  • Both, displays both property and name documents.

  • Property Docs Only

  • Name Docs Only

If necessary, you can override this default when running a Grantor/Grantee search.

Name Search (TPX)

 

Percent Match Default

Choosing one of the Matching percentages automatically selects that option on the Grantor/Grantee or Name search screens each time you run a search. The values below indicate the percent level of accuracy for finding and identifying instruments when searching by name:

  • 100%

  • 90-100%

  • 80-100%

  • 70-100%

  • 60-100%

  • 50-100%

Years Back Default

Enter a Years Back Default value to limit your name search From and Thru Date range and subsequent result set. This value is reflected in the Date Range Search Options on the Grantor/Grantee or Name search pages and can be changed on-the-fly.

Use Pick List

Choosing this option displays the Name Pick List, which yields a collection of possible name matches from which you can choose. Also see About Name Pick List for further information.

Auto Select from Pick List

Choosing this option automatically selects all of the name variations displaying on the Pick List.

Include Nicknames and Abbreviations

Checking Use Include Nicknames automatically checks the Include Nicknames option on the Grantor/Grantee, Combination, and Name search screens. Choosing Include Nicknames determines whether the name search considers first name nicknames (such as Katie and Kate for Katherine).

Merge Results

Checking Merge Results automatically checks the Merge Name Results box on the Grantor/Grantee or Name search screens. The Merge Results feature merges multiple name results into a single result. Also see Merging Name Search Results.

Checking this filter automatically checks the Include Property Documents option on the Grantor/Grantee search screen. Choosing Include Property Documents includes all documents with a legal description for Grantor/Grantee search results.

Search for References

Check Search for References to automatically search for secondary documents that are related to the primary document(s).

Tax Auto-run

Checking Tax Auto-run automatically checks the Tax Auto-run box on the Instrument Search Screen. The Tax Auto-run feature uses the legal cross reference key to auto-run the tax search based on the result of the instrument search, provided the instrument found is a property instrument.

If necessary, you can override your chosen default value when Running an Instrument Search.

Property Auto-run

Checking Property Auto-run automatically checks the Property Auto-run box on the Instrument Search Screen. The Property Auto-run feature uses the legal of the searched instrument to auto-run the property search, provided the instrument found is a property instrument.

If necessary, you can override your chosen default value when Running an Instrument Search.

Default Number of Instrument Entries

Enter the number of default instrument number fields to display for an Instrument Search. You can choose between 1 and 100.

Starter Search

 

Search in All Counties

Checking Search in All Counties automatically checks the All Counties box on the Starter Search Screen.

If necessary, you can override this default when Running a Starter Search.

Xpress Legal & Vesting Search

 

Default Lookup

Choose one of the following to automatically display it as chosen on the Legal and Vesting Search Screen:

  • Assessed Owner

  • Address

  • Property ID
